Quote settings in Pillar

In the quote settings, define just once the choices that repeat on every quote: numbering, price list, margins, VAT, header, logo, notes and attachments. This way each new quote starts ready to go, without setting everything up again by hand.

‼️ Changes to the settings apply only to future quotes: quotes already created do not change.


Where to find the settings

From the side menu, open Projects > Quotes. On the page with the list of quotes, click the gear icon in the top right: the Quote settings window opens.

When you're done, click "Save".

From the settings you can define how each new quote is numbered automatically:

  • Prefix (optional): a text in front of the number (e.g. "Q-").

  • Day, Month, Year: choose whether to include them in the number and in what order (you can drag them). For the year, choose the YYYY format (e.g. 2026) or YY (e.g. 26).

  • Progressive number, starting from: the starting number, which increases with each new quote.

At the bottom you always see the preview of the identifier that the next quote will have.


Basic settings

These are the basic pieces of information copied to new quotes. You can always change them on the single quote.

  • Activity price list: choose the Regional Price List (the region) used to estimate the activity prices, even when you use Pillar AI to generate the quote.

  • Overhead: the overhead percentage applied by default to the quote costs.

  • Profitability: set the default margin. You can choose between:

    -Single: a single margin percentage on all costs.

    -Per cost category: a different margin for each cost category: Material, Labor, Subcontract, Rentals, Equipment and tools, Leasing, Waste disposal, Security and Uncategorized.

  • Default VAT: the VAT rate proposed by default on new quotes.


Default contractual notes

Two texts that are copied automatically to every new quote (and that you can always edit on the single quote):

  • Payments: the payment terms (e.g. "Payment within 30 days of invoice date").

  • General conditions: additional notes (e.g. offer validity, VAT excluded, etc.).


Default letterhead

The data that appears at the top of the exported quote:

  • Logo: choose between Square logo and Horizontal image, then upload the file. A PNG or JPG up to 5 MB is allowed. The logo is then inserted automatically in all quotes.

  • Email: the reference address shown on the quote, useful for the client to contact you.

  • Default Subject and Opening paragraph: the title and introductory text of the quote.


Templates

In the Templates section you manage the quotes saved as a template: you see the linked quote, add new ones or remove them.

PDF export

You can automatically include PDF documents in every new quote (for example a company presentation or the contract conditions):

  • Head attachment: the PDF is added at the beginning of the quote.

  • Tail attachment: the PDF is added at the end of the quote.

‼️Only PDF files are allowed (up to 25 MB). You can upload more than one and order them by dragging them.


💡 Useful tips

  • Set up logo, email and numbering at the beginning: you'll find them ready on every quote, without re-entering them each time.

  • Use profitability per cost category if you apply different margins on materials, labor and subcontracts: new quotes are born already with the right margins. You can always change them if needed.

  • Upload a company presentation as a head attachment and the general conditions as a tail attachment: quotes come out already complete.
