The work report is the summary of a working day on a construction site: who worked, how many hours, on which activities, with which vehicles and in what weather. In Pillar you can create it in three ways, and in all cases the confirmed hours are automatically recorded on the construction site.
What you can do with work reports
Receive the work reports that workers send from the WhatsApp Assistant, by voice, in writing or with a photo.
Create a work report manually from the app, filling in workers, hours, activities and much more information.
Upload a file (photo or PDF of a paper work report): Pillar AI extracts the data for you.
Automatically record the hours worked on the construction site from the confirmed work report.
Get the PDF of the work report, ready to download or archive.
Where to find the work reports of a construction site
From the left side menu, click "Projects" and then "All construction sites".
Click the row of the construction site you are interested in.
From the construction site menu, select "Work reports".
The work reports that arrive from the WhatsApp Assistant can also be found on your home, in the box "Work reports to confirm", so you don't miss anything even when you are not inside the construction site.
Receiving a work report from the WhatsApp Assistant
The worker on the construction site sends a message to Pillar's WhatsApp Assistant: they can write ("Rome construction site, Marco and I 8 hours, clear"), send a voice message or a photo of the paper work report. Pillar AI reads the message and fills in the work report for them: workers, hours, activities, vehicles, kilometers and weather conditions.
The work report arrives in Pillar as a draft to verify: you find it in the Work reports section of the construction site and in the "Work reports to confirm" box of the dashboard.

Verifying a work report received from WhatsApp
A work report extracted by Pillar AI is not final yet: it must first be checked and confirmed in the office. It is the most important step, because only after verification are the hours actually recorded on the construction site.
Open the work report from the list: at the top you see the text "Data extracted by Pillar AI".
Check the data the assistant has filled in: workers and hours, any activities, vehicles and kilometers, weather conditions and notes. Correct what doesn't add up.
If a worker or a vehicle was not recognized (because it was not in the details), Pillar flags it to you: choose the right one among those registered, or add it.
When the data is correct, click "Verify".
At this point Pillar generates the PDF of the work report and automatically records the hours worked on the construction site.
‼️ Until you click "Verify", the hours are not counted. A work report received from WhatsApp remains a draft: remember to verify it, otherwise the hours of that day do not show up on the construction site.
Creating a work report manually
If you want to enter a working day yourself, without starting from a message or a file:
From the Work reports section of the construction site, click "New report".
In "General information" indicate the Date of the day. You can add, if you want, the Number, the Weather conditions and the Notes.
In the "Workers" section click "Add worker", choose the worker and enter the Hours per day. You can also indicate the Activity and mark any "Unexpected" hours.
In the "Vehicles" section, if there are vehicles to record, click "Add vehicle", choose the vehicle and enter the Kilometers.
Click "Create report".
The work report created manually is already confirmed: Pillar generates the PDF immediately and records the hours on the construction site, without the need for a verification step.
Uploading a work report from a file
If you have a paper work report (a photo or a PDF), you can upload it and let Pillar AI extract the data:
From the Work reports section of the construction site, click "Upload report" and choose the file from your computer.
Pillar AI analyzes the file (the message "Pillar AI is analyzing the file" appears) and fills in a draft to verify with the data it manages to read.
Open the draft, check and correct the extracted data as for work reports from WhatsApp (workers, hours, vehicles, weather).
Click "Verify" to confirm: Pillar records the hours and keeps the original file attached to the work report.
In this case too the verification step rule applies: until you confirm, the hours are not counted.
Which data is needed to save a work report
To save or confirm a work report just two pieces of data are needed:
Construction site: the construction site the day refers to. If you create the work report from inside a construction site, it is already set.
Date: the day of the working day.
Everything else is optional, but with some rules when you fill it in:
Number, Weather conditions, Notes and Internal notes are always optional.
If you add a worker, you must indicate both the worker and the hours. The hours cannot exceed 24 for each worker.
If you add a vehicle, you must indicate both the vehicle and the kilometers.
💡 Useful tips
Work reports received from WhatsApp or uploaded from a file remain drafts until you click "Verify": check them every day, so the hours on the construction site are always up to date.
Register workers and vehicles in the details: the assistant recognizes them by name or license plate and you find the work reports already ready.
Activate the automatic 6:30 PM reminder from the Workers section of the construction site: workers receive a notice on WhatsApp inviting them to record the hours of the day.
Use the Number of the work report if you keep a progressive numbering: it helps you find it and keep order in the archives.
